Most accounting firms don’t lose clients because of the accounting. They lose them in the gaps around it: the enquiry nobody replied to for two days, the onboarding that took three weeks of back-and-forth, the documents chased by hand every month. GoHighLevel is good at exactly those gaps.
I’ve built GoHighLevel setups for accounting and bookkeeping practices, and the firms that got value from it all did the same thing: they started with one or two workflows that hurt, not the whole platform. This guide is that order, with honest notes on what GoHighLevel doesn’t do. Prices below are as of October 2026.
What GoHighLevel is (and isn’t) for a firm
GoHighLevel (also called HighLevel or GHL) is an all-in-one sales and client communication platform: CRM, forms, calendars, email and text, pipelines, proposals and contracts, payments, a client portal and workflow automation, in one login.
| GoHighLevel does well | GoHighLevel doesn’t do |
|---|---|
| Capturing and following up enquiries | Bookkeeping or tax preparation |
| Booking discovery calls | Recurring job scheduling per client |
| Proposals, contracts and e-signatures | Time tracking and capacity planning |
| Onboarding forms and document requests | Workpapers and review sign-off |
| Reminders by email and text | Filing deadlines by entity and form |
| Review requests and a simple website | Deep two-way sync with your ledger |
So think of it as the front office: winning, onboarding and keeping clients. Your accounting software and practice management tool stay as the back office.
The setup, in the order I’d build it
1. One pipeline for new clients
Create a single pipeline with stages that match how a client actually joins you:
Enquiry → Call booked → Proposal sent → Signed → Onboarding → Active
Every enquiry from your website, phone or referrals lands in the first stage. Now nobody falls through the cracks, and you can see at a glance where every prospect is.
2. An enquiry form and a booking calendar
Put a short form on your website (name, business type, services needed, how they heard of you) and a calendar for a 15–20 minute discovery call. Set an automation so that a new enquiry gets an instant, friendly email with the booking link, and a text reminder the day before the call. This alone usually lifts how many enquiries turn into calls.
3. Proposal and engagement letter
Use the Documents & Contracts feature to send your proposal and engagement letter for e-signature, with your fee and scope. When it’s signed, move the client to Onboarding automatically and notify the team. Keep the scope wording professional and reviewed; the software just delivers it. If you need a starting point for what to cover, see how to onboard a new tax or bookkeeping client.
4. Onboarding and document requests
This is where firms save the most time. When a client reaches Onboarding:
- Send a welcome email with an intake form (entity details, bank accounts, software, payroll, sales tax).
- Ask for the first documents through the client portal or a secure upload form, not email attachments.
- Send polite reminders on a schedule (for example day 3, 7 and 12) until the documents arrive, then stop automatically.
- Create a task for the team member who sets the client up in your accounting software.
The reminder rules matter more than the tool. How to stop chasing clients for documents explains the reminder schedule that works without annoying people, and the free document request checklist gives you the lists to send.
5. Monthly document chasing for existing clients
Once clients are active, a recurring workflow can ask for bank statements and receipts each month and remind until they’re in. Keep it simple: one message on the first working day, a reminder a week later, and a task for a person if nothing arrives after that.
6. Reviews and referrals
After onboarding finishes, or after a tax return is filed, send a short review request. Reviews on your Google Business Profile do more for a local firm’s enquiries than almost any other marketing.
Texting clients: register first
If you’ll text clients in the US from a local number, you must register for A2P 10DLC before your messages will deliver reliably. It’s fussy but straightforward if you prepare your website and privacy policy first. Follow the A2P 10DLC registration guide for GoHighLevel before you build any text reminders.
What it really costs
| Item | Price (Oct 2026) |
|---|---|
| Starter plan | $97 / month (about $970 / year) |
| Unlimited plan | $297 / month |
| Texts, calls, email, AI | Pay as you go, on top of the plan |
| A2P registration | One-time and monthly carrier fees |
For a single firm, Starter is usually enough. Unlimited and the higher plans are built for agencies managing many businesses. Budget a little extra each month for usage; a small firm sending reminders and occasional texts typically spends tens of dollars, not hundreds. Check the official pricing page before you sign up, as plans change.
The bigger cost is setup time. Expect a few days to build the first two or three workflows properly, test them on yourself, and train the team.
Mistakes I see most
- Building everything at once. Twenty half-finished workflows confuse the team. Build one, use it for two weeks, then add the next.
- No one owns it. Someone needs to check the pipeline daily and fix things when a workflow misfires.
- Texting before registration. Messages fail quietly, and clients think you’ve gone silent.
- Putting sensitive data in the wrong place. Don’t collect tax ID numbers or bank logins in ordinary form fields or emails. Use a secure portal or your practice management tool for those.
- Replacing tools that work. If your practice management software already handles recurring jobs well, connect to it instead of rebuilding it in GoHighLevel.
Alternatives worth comparing
GoHighLevel is one option, not the only one.
- TaxDome: CRM, client portal, e-signatures and practice management built specifically for tax and accounting firms. A strong choice if you want one system for front and back office.
- HubSpot: excellent CRM and email marketing with a free starting tier; costs rise as you add features.
- Zoho CRM: affordable and flexible, good if you already use other Zoho apps.
- Keap: simple follow-up automation for small service businesses.
- A spreadsheet tracker: for a firm with a handful of new clients a month, a well-built tracker plus email templates can be enough. Our client onboarding tracker is built for exactly that.
Adding AI on top
Once the basics run, AI can draft the welcome emails, summarise discovery calls and prepare follow-ups for a person to approve. HighLevel has its own AI features, and an agent like Grok Bot can work across GoHighLevel and your other tools on a schedule. See how an AI assistant for accounting firms runs your daily work for what that looks like day to day.
The short version
- Use GoHighLevel as your front office, not your accounting system.
- Build the new-client pipeline, enquiry form and booking calendar first.
- Automate onboarding and document reminders next; that’s where the hours come back.
- Register A2P before any texting.
- Start on Starter, add workflows one at a time, and keep a person checking.

Questions
Is GoHighLevel good for accountants?
It is good for the client-facing side of a firm: capturing leads, booking calls, sending proposals and contracts, onboarding new clients, chasing documents by email and text, and asking for reviews. It is not accounting, tax or practice management software, so most firms use it alongside tools like QuickBooks, Xero and their tax software rather than instead of them.
How much does GoHighLevel cost for an accounting firm?
As of October 2026, the Starter plan is listed at $97 a month and Unlimited at $297 a month, with about two months free on annual billing. Text messages, calls, email sending and AI features are charged on top based on usage, which for a small firm typically adds tens of dollars a month. Check the official pricing page before signing up.
Can GoHighLevel replace my practice management software?
Usually not. GoHighLevel has pipelines and tasks, but it does not have the recurring job scheduling, time tracking, workpaper management and deadline tracking that practice management tools such as Karbon, TaxDome or Financial Cents are built for. It works best as the front end that wins and onboards clients.
Does GoHighLevel integrate with QuickBooks?
HighLevel offers a QuickBooks Online connection for its payments and invoicing features, and tools like Zapier, Make or n8n can connect it to QuickBooks, Xero and other accounting software for anything else. Test exactly what syncs in your account before relying on it.
Do I need A2P 10DLC registration to text clients from GoHighLevel?
Yes, if you text US numbers from a local 10-digit number. Without registration, carriers filter or block your messages. Our step-by-step A2P 10DLC guide for GoHighLevel covers the brand, campaign and website requirements.
What are the alternatives to GoHighLevel for accountants?
TaxDome combines CRM, client portal and practice management for tax firms. HubSpot and Zoho CRM are general CRMs with strong email tools. Keap suits small service firms that mainly need follow-up automation. A well-built spreadsheet tracker plus email templates also works for very small firms.
